SmartRecruit – Privacy Policy

1) Who we are & scope

This Privacy Policy applies to the SmartRecruit mobile application (the “App”). It is intended only for candidates to create and manage profiles and upload resumes/CVs. It does not apply to employer/recruiter web portals or third‑party websites/apps.

2) What we collect

We collect only the information needed to create your profile, process your resume, and communicate with you about job opportunities.

Information you provide

• Account details: name, email, password (hashed), phone (optional).
• Profile details: location, experience, education, skills, and links (e.g., portfolio/LinkedIn).
• Resume/CV and attachments you upload (PDF/DOC), and any profile photo you choose to add.

What we do NOT collect

• We do not access your contact list, SMS content, call logs, calendar entries, or microphone recordings.
• We do not collect precise geolocation unless you explicitly enable it for proximity features (off by default).

Optional device permissions (explained in‑app)

• Files/Photos: to upload your resume/CV and profile photo.
• Camera: only if you choose to capture a profile photo.
• Notifications: to alert you about application status updates (optional).

3) How we use your information

• Create and maintain your candidate account and profile.
• Parse your resume/CV to structure your skills, experience, and education for recruiter search and matching.
• Show your profile to authorized employers/recruiters on SmartRecruit for relevant job openings.
• Send service communications (e.g., profile completeness, password resets, status updates).
• Maintain App security, fix bugs, and improve performance (analytics and diagnostics).
• Comply with legal obligations and enforce our Terms.

We do not sell your personal information.

4) How we share information

• Employer/Recruiter users: Your profile/resume is visible to authorized employer/recruiter accounts for roles you match or apply to.
• Service providers (processors): cloud hosting, storage, analytics, crash reporting, email/notification services—bound by contract to protect data and use it only to provide services to us.
• Legal or compliance: if required by law, regulation, legal process, or to protect rights, safety, or security.

We do not share data with third parties for their independent marketing.

5) Legal bases (where applicable)

• Consent (e.g., when you upload a resume, enable notifications).
• Contractual necessity (to provide the App and related services to you).
• Legitimate interests (security, diagnostics, service improvement), balanced against your rights.

6) Data retention

• Your profile and resume are retained while your account is active.
• Encrypted backups may persist for a limited time and are purged on a rolling schedule.

7) Data Deletion

• If you wish to request deletion of your personal data, please contact us at no-reply@thesmartrecruit.ai.

8) Your rights & choices

Subject to applicable law, you may:

• Access a copy of your data.
• Correct or update inaccurate or incomplete data.
• Export/port your profile data (where available).
• Withdraw consent (e.g., notifications) without affecting prior lawful processing.

• Secure credential storage (hashed passwords).

No method of transmission or storage is 100% secure; we continuously work to enhance our safeguards.

9) Children’s privacy

The App is not intended for individuals under 18. We do not knowingly collect data from children. If you believe a child has provided data, contact us to delete it.

10) Changes to this Policy

We may update this Policy from time to time. We will post the updated version in the App and revise the “Effective date”. Material changes may also be communicated via email or in‑app notice.
